A duplicate motor vehicle logbook in Uganda is a replacement document issued by the Uganda Revenue Authority (URA) when the original logbook is lost, stolen, or damaged. This logbook serves as the official proof of vehicle ownership and registration, making it a crucial document for vehicle transactions, insurance, and licensing.

Losing your logbook does not mean losing your ownership rights. By following the correct procedure through the URA, you can obtain a legally valid duplicate that contains the same details as the original document.

Procedure

Apply In Person
  1. Report the Loss:
If your original logbook is lost or stolen, immediately report the incident to the nearest police station and obtain an official police report confirming the loss or theft.
  2. Prepare an Affidavit:
Visit a lawyer or Commissioner for Oaths to prepare an affidavit explaining the circumstances surrounding the loss or damage of the logbook.
  3. Visit the Uganda Revenue Authority (URA):
Go to the URA offices and request an application form for a duplicate motor vehicle logbook.
  4. Complete the Application Form:
Fill out the form accurately with all required information. Incomplete or incorrect applications will not be processed.
  5. Attach Required Documents:
Include all documents listed in the Required Documents section below. Attach both the originals and photocopies for verification.
  6. Submit and Pay the Fees:
Submit your completed form and supporting documents to the URA officer. Pay the prescribed fee as instructed by the authority.
  7. Receive Acknowledgment:
You will be given a receipt as proof of submission. Keep this safe for tracking your application.
  8. Processing and Collection:
Once your application is verified, the URA will process it within 2–3 weeks. You will receive an SMS notification when your duplicate logbook is ready for collection.

Need for the Document

The duplicate motor vehicle logbook Uganda acts as a legal replacement when the original logbook is lost or destroyed. It verifies ownership and is required for:

  • Vehicle sale or transfer
  • Vehicle insurance application
  • Renewal of vehicle licenses
  • Proof of ownership in legal or financial transactions

Without a valid logbook, vehicle owners cannot complete most official processes related to their vehicles.

Information Which Might Help

When a logbook is lost, owners should not delay reporting the case to the police. The duplicate logbook issued by URA carries equal legal weight as the original. It contains identical vehicle details, including registration number, chassis number, and ownership history.

Others

It is important for vehicle owners to keep logbooks secure to avoid loss or damage. However, if such an event occurs, applying for a duplicate ensures that you continue to own, operate, and manage your vehicle legally under Ugandan law.
