1. Open Microsoft Teams

3. Create a New Meeting

Click the “New Meeting” button in the top-right corner to open the scheduling form. Here, you’ll need to:

  • Enter a meeting title that clearly describes the purpose.
  • Add participants by typing in their names or email addresses.
  • Select the date, time, and time zone to accommodate attendees.
  • Choose the recurrence option if it’s a repeating meeting.

4. Adjust Meeting Settings

  • Decide if attendees can join directly or must wait in the lobby.
  • Grant presenter permissions to selected participants.
  • Enable or disable muting on entry.

Once everything is in place, click Send (or Save). The invitation will be shared with all participants and added to their Teams and Outlook calendars. Attendees will also receive an email containing the meeting link for quick access.


6. Alternative Method: Schedule via Outlook

If you prefer using Outlook, you can create a calendar event directly and select the “Teams Meeting” option. This automatically generates a Teams link, saving time and ensuring a seamless connection between Outlook and Teams.


7. Prepare for the Meeting

On the day of the meeting, take a few moments to:

  • Test your internet connection, microphone, and camera.
  • Review your agenda or presentation materials.
  • Join the meeting by clicking the link in your calendar, email, or directly through the Teams app.
