Sending your CV through Gmail may seem simple, but it’s one of the most important steps in any job application process. The way you present and deliver your CV can leave a lasting impression on recruiters or hiring managers. Whether you’re applying from your computer or mobile phone, following the right procedure ensures your application looks polished, professional, and reaches the intended recipient without issues.

Step 1: Prepare Your CV

Before opening Gmail, make sure your CV is up-to-date with your latest qualifications, skills, and work experience. Always save it in a widely accepted format like PDF (preferred for consistent formatting) or DOCX.

Name your file professionally, for example:
John-Doe-CV.pdf
finalcv2.pdf

A properly named file reflects your professionalism and attention to detail.

Step 2: Log in to Gmail

Open the Gmail website on your browser or the Gmail app on your phone. Sign in with your professional email address—preferably one that contains your real name (e.g., [email protected] instead of [email protected]). A professional email address adds credibility to your application.

Step 3: Compose a New Email

Click “Compose” (desktop) or tap the pencil icon (mobile app) to open a new email window. In the “To” field, carefully type the recruiter’s or employer’s email address. Double-check for typos to avoid misdirected applications.

Step 4: Write a Clear Subject Line

Your subject line should be direct and professional. Examples include:

  • Application for Safety Assistant – John Doe
  • Job Application: Administrative Officer – Jane Doe

This ensures the recruiter immediately understands the purpose of your email. Avoid vague subject lines such as “Job Application” with no details.

Step 5: Write a Short, Polite Message

In the body of your email, briefly introduce yourself, state your intention, and mention the attached CV. Keep it concise and professional. Example:

Dear [Hiring Manager’s Name],

I am writing to apply for the [Job Title] position as advertised. Please find attached my CV for your review. I believe my skills and experience align with the requirements of the role, and I would be glad to discuss how I can contribute to your team.

Thank you for your time and consideration.

Kind regards,
[Your Full Name]
[Your Contact Information]

Step 6: Attach Your CV

Click the paperclip icon to attach your CV file. Select the document from your device and wait for it to upload fully. On mobile, tap “Attach file” to do the same.

Tip: If your CV file exceeds Gmail’s 25MB limit, upload it to Google Drive and insert the shareable link in your email instead.

Step 7: Review Before Sending

Proofread your email for spelling, grammar, and formatting errors. Ensure:

  • The recruiter’s email is correct.
  • Your CV is attached.
  • The subject line is professional.

Once everything looks good, click “Send.”

Step 8: Confirm Delivery

Check your “Sent” folder to make sure your email went through successfully. If necessary, you can also enable read receipts (in Gmail settings or through extensions) to know when your email has been opened.
